How to Create a Transport Request on Truckscanner

This guide explains step by step how to post a transport request on the Truckscanner marketplace to receive quotes from registered carriers.

Who this guide is for

This guide is designed for:

  • Shipping companies that need to ship goods and are looking for carriers
  • Logistics departments that want to compare quotes
  • New users posting their first request on the platform

Before you start: what you need

To post a transport request you will need:

Load information:

  • What you need to ship (type of goods)
  • Weight and dimensions
  • Quantity (number of pallets, packages, etc.)

Addresses:

  • Where to pick up the goods (full address)
  • Where to deliver them (full address)

Dates:

  • Date range for pickup and delivery

Note: Posting a request is completely free with no commissions.

How to access the creation form

Option 1: From the Truckscanner website

  1. Go to truckscanner.it
  2. Fill in the fields in the search bar:
    • Pickup (departure city)
    • Delivery (destination city)
    • Delivery date
    • Load type
  3. Click Search now
  4. You will be redirected to the complete form

Option 2: From the Dashboard (registered users)

  1. Log in to app.truckscanner.it
  2. Click the green + CREATE REQUEST button at the top right
  3. The button is visible from the Dashboard and the "My requests" section

Step 1: Enter Addresses

Pickup Address

  1. In the "Pickup" field, start typing the address (e.g. "Via Roma 10, Milan")
  2. The system will suggest complete addresses via autocomplete
  3. Select the correct address from the list

Privacy Note: For privacy reasons, carriers will initially see ONLY the pickup and delivery cities. The full address will only be shown after accepting an offer and issuing the transport order.

Delivery Address

  1. In the "Delivery" field, type the destination address
  2. Select the correct address from the suggestions list

What carriers will see: Only "Milan (IT) → Rome (IT)" (not full addresses)

Step 2: Pickup and Delivery Dates

Select the date range

  1. Click on the "Delivery date" field
  2. A calendar will open
  3. Select the start date of the available period
  4. Select the end date of the available period

Tips for dates

  • Flexible dates (multiple days): Increase chances of receiving offers
    • Example: "From 15 to 18 January" → highlighted in green
  • Fixed date (single day): Limits offers but guarantees precision
    • Example: "16 January" → highlighted in red

Idea
Tip: Always leave a reasonable margin for transport.

Step 3: Select Goods Category

Select the load type from the "Category" dropdown menu. Available options are:

Palletised goods

For products on EPAL, industrial or custom pallets.

  • Example: Appliances, packaged food, building materials

Other loads (not palletised)

For packages, coils, barrels, non-palletised construction materials.

  • Example: Machinery, industrial components, furniture

Bulk cargo (solid)

For minerals, cereals, loose construction materials.

  • Requires specific vehicles (tippers, walking floor)

Bulk cargo (liquid)

For milk, oils, non-hazardous chemicals.

  • Requires tankers

Intermodal transport unit

For 20'/40' containers, swap bodies, semi-trailers.

  • For transport combining road/rail/sea

Exceptional loads

For oversized or overweight goods (authorisation required).

  • Example: Heavy machinery, turbines, metal structures

Step 4: Enter Specific Goods Data

After selecting the category, fields change based on the chosen load type.

For Palletised Goods

Pallet type:

  • EPAL (120x80 cm) - Standard European pallets
  • Industrial (120x100 cm) - Larger than standard pallets
  • Other - Enter your own pallet measurements

Fields to fill in:

  • Length (cm): Length of the pallet/goods
  • Width (cm): Width of the pallet/goods
  • Height (cm): Height from floor to highest point
  • Quantity: Number of pallets (use + and - buttons)
  • Weight per pallet (kg): Weight of each individual pallet
  • Content: Brief description (e.g. "Appliances", "Dry food")
  • Stackable: Yes/No - indicates if pallets can be stacked

Tip: Click the green ? icon next to dimension fields to see a guide image.

For Other Loads (not palletised)

Fields to fill in:

  • Length, Width, Height (cm)
  • Quantity: Number of packages/units
  • Unit weight (kg)
  • Content: Description
  • Stackable: Yes/No

For Bulk Cargo (solid/liquid)

Fields to fill in:

  • Total weight (kg)
  • Volume (m³)
  • Content: Material description

For Intermodal Transport Unit

Container type:

  • 20' / 40' / 40' HC Container
  • Swap body
  • Semi-trailer

Fields to fill in:

  • Dimensions, Weight, Content

For Exceptional Loads

Fields to fill in:

  • Exact dimensions (length, width, height)
  • Total weight
  • Detailed description

Note: Exceptional loads require special authorisations. Specialised carriers will assess feasibility.

Step 5: Special Goods (optional)

If the goods require specific certifications, select the appropriate options:

Perishable goods (ATP)

  • Refrigerated 0°/12°
  • Refrigerated down to -20°
  • Isothermal

Requires: ATP Certificate

Hazardous goods (ADR)

  • Explosive
  • Flammable
  • Radioactive
  • Hazardous to water
  • Inhalation hazard
  • Medical waste

Requires: ADR License

Other categories

  • High value goods
  • Waste (requires Environmental Managers Register)

Step 6: Additional Requirements (optional)

Trailer Type

If you have specific needs, select:

  • Top loading: Loaded from above

Special Services

  • Loading/Unloading Service: Carriers help physically
  • Assembly Service: They assemble what they deliver
  • Customs Services: For international shipments
  • Tracking: GPS cargo monitoring
  • ZERO Emissions: Eco-friendly transport

If you require the carrier to have specific certifications:

  • DURC (Italy)
  • Carrier Liability Insurance
  • Antimafia Whitelist
  • Community Licence
  • ADR
  • ATP

  • GDP (pharmaceuticals)
  • Live animal transport
  • ISO 9001, ISO 14001, ISO 27001, ISO 50001
  • Specific insurance

Step 7: Additional Notes and Attachments

Notes Field

Enter specific transport instructions:

  • "Call before delivery"
  • "Fragile goods, handle with care"
  • "Pickup by 2:00 PM"
  • "Ground floor delivery"

Transport Budget field

Enter the maximum cost budget for the shipment.

Payment terms field (optional)

Enter your preferred payment terms.

Attachments (optional)

You can upload:

  • Documents relating to the goods
  • Photos of the load
  • Technical specifications

Note: Attachments help carriers better understand the request.

Step 8: Review Summary and Publish

Request Summary

On the right side of the page you will see:

  • Map with estimated route
  • Distance in km
  • Total weight of goods
  • Estimated budget (automatically calculated)
  • Estimated CO2 emissions
  • Address summary: Only cities visible to carriers

Check before publishing

  • ✅ Complete addresses (street, number, city)
  • ✅ Correct dimensions (accurately measured)
  • ✅ Realistic weight (carriers may refuse if heavier)
  • ✅ Reasonable dates (enough time for transport)
  • ✅ Content clearly described

Publishing

  1. Click the "Publish request" button
  2. The request will be visible on the marketplace
  3. Interested carriers can submit offers

After Publishing

If you are a new user

  1. Check your email (also spam)
  2. Click the verification link
  3. Complete your profile with name, surname, phone and password
  4. You will be redirected to login

Sharing the Request

After publishing, you can share the request with your regular carriers:

  1. Click the share icon next to the request code
  2. Copy the generated link (e.g. https://ship.truckscanner.it/richiesta/RC-ABC123)
  3. Share it via email, WhatsApp or as you prefer

Benefit: All quotes will arrive on Truckscanner, in one place!

Sharing via Network

If you have already added carriers to your Network (see Guide 2):

  1. Go to the "My requests" section
  2. Click the Network icon (users) in the request row
  3. Select the carrier Groups to notify
  4. Click "Share"

Selected carriers will receive an automatic email notification.
