How to Enter a Transport Request on Truckscanner - Help

Insertion of a Load Request (transport quotes) on the Marketplace

Before you start: What you need

To enter a transport request you will need:

📋Load information:

  • What you need to ship
  • Weight and size
  • Quantity (number pallet number, packages, etc.)

📍Addresses:

  • Where to withdraw the goods
  • Where to deliver it

📅Date:

  • Range of dates on which the goods must be withdrawn and delivered

How to Access the Form

Option 1:Go to thetruckscanner.it,fill in the first four required fields and click on the button:

Option 2:If you are already registered, go to the app and click the button+ Crea requestthat you find at the top right in sections "Dashboard" and "My requests".



Step 1: Inserting Addresses

Withdrawal of Goods

In the field "Withdrawal":

  1. Start writing the address (e.g. "Via Roma 10, Milan")
  2. The system will suggest you complete addresses
  3. Selectthe right one from the list

❓ Privacy Help(green icon next to the field):"For privacy reasons, initially Carectors will be able to see ONLY the City of Retreat and Delivery, as indicated below in the 'Squiry Summary'. The name of the company and/or the exact address of the Withdrawal and Delivery points will be shown only after acceptance of an offer and the consequent issue of the transport order"

Destination of the Goods

In the field "Delivery":

  1. Same procedure of withdrawal (e.g. "Via Carducci 10, Rome")
  2. Select the destination address from the list

What carriers will see:Only "Milan (IT) → Rome (IT)" (not complete addresses(e)


Step 2: Withdrawal and Delivery Dates

Click on the calendar and select:

  • Exact dateif it is fixed (tassative)
  • Range of datesif you have flexibility (e.g. from 15 to 17 January)

Step 3: Selection Category Goods

Choose the type of load you need to ship:

Bubble Goods

When to choose it:Your goods are on pallets (bank)

Subcategories:

  • EPAL (120x80cm): European standard pallets
  • Industrial (120x100cm): Larger pallets
  • Other: Pallets of different sizes

Other Charges (not palletized)

When to choose it:Goods without pallet

Subcategories:

  • Goods: Machinery, furniture, large structures
  • Buying: Boxes, bags, stems, reels

Bulk Loads (Solids)

When to choose it:Loose materials such as sand, cereals, minerals

🔵 Bulk Loads (Liquids)

When to choose it:Liquids type milk, oils, chemicals

📦 UTI (Intermodal Transport Unit)

When to choose it:Containers, mobile speakers and semi-trailers for intermodal

⚠' Exceptional loads

When to choose it:Goods out of shape or flow rate (serve authorization)


Step 4: Inserting Specific Data

After selecting the category of goods, you will need to enter the specific data. Fields change depending on the type of load chosen.

First choose the type of pallet:

Option A: EPAL (120x80cm)

Standard European pallets pallets

Fields to be filled in:

Quantity Pallet:

  • How many pallets you need to ship (e.g. 15)

Weight for Pallet:

  • How much weighs every single pallet in kg (e.g. 800 kg)

Pallet height:

  • Insert the height in cm from the floor to the highest tip of the goods

Stackable:

  • Yes: Pallets can be overlapped
  • No: Pallets must stay next to each other

Option B: Industrial (120x100cm)

Larger pallets than standard

Same fields as EPAL:

  • Quantity pallet quantity
  • Weight for pallet
  • Pallet height
  • Stackable (Yes/No)

Option C: Other (Custom Pallets)

Pallets of different sizes

Fields to be filled in:

  • Quantity pallet quantity
  • Weight for pallet
  • Pallet length
  • Pallet width
  • Pallet height
  • Stackable (Yes/No)

Others (Not Pallettized)

Ex. machinery, furniture, large structures, boxes, hills, stems, coils

Fields to be filled in:

  1. Standard packages quantity (of equal size and weight)
  2. Length of collides
  3. Depth of collides
  4. Height collides
  5. Unit weight
  6. Stackable (Yes/No)
Warning
In case you need to insert packages of different sizes or weights:
  1. Enter the first standard type
  2. Click "Add Goods"
  3. Insert the second type of standard packages
  4. etc. etc.
Example: Insertion of 10 stackable stems of size 100 x 50 x 80 cm and weight 200 kg and an industrial machinery of size 500 x 200 x 200 cm and weight 15,000 kg.
  1. I insert the stems by filling in: Quantity 10; Length 100 cm; Depth 50 cm ; Height 80 cm; Unit weight 200 kg; Stackable Yes
  2. Click Add goods - Other loads (not palletized)
  3. I insert the industrial machinery: Quantity 1; Length 500 cm; Depth 200 cm; Height 200 cm; Weight 15,000 kg; Stackable No

SFUSI CARICHI (Solid)

Sand, cereals, minerals, pellets

Fields to be filled in:

Total weight:

  • Weight in tons (e.g. 25 ton)

Volume (Optional):

  • If you know, insert it into cubic meters (e.g. 40 mc)

Content of the Load:

  • Write what you are shipping (e.g. "Hand wheat", "Fine Sand", "Wooden leather")

🔵 SFUSI CARICHI (Liquids)

Milk, oils, chemicals, fuels

Fields to be filled in:

Volume:

  • Quantity in cubic meters (e.g. 20 mc)

Weight (Optional):

  • If you know it, weight in kg

Content of the Load:

  • What you are shipping (e.g. "Eutty milk", "Ove oil", "Gasolio")

📦 Intermodal transport unity (uti)

First choose the type:

Option A: Container

Container size:Length, Depth and Height

Total weight:Full container weight in tons

Content:What's inside the container

Option B: Mobile Cases

Mobile Case Size:Length, Depth and Height

Total weight:Full cash weight in tons

Content:What's inside the case

Option C: Semi-trailer

Total weight:Weight of semi-trailer in tons

Ecceptional cariches

Goods that exceeds the limits of law by scope or shape

Fields to be filled in:

Length:

  • Total length in meters (e.g. 15m)

Width:

  • Maximum width in meters (e.g. 4.5m)

Height:

  • Maximum height in meters (e.g. 4.2m)

Total weight:

  • Total weight in tons (e.g. 50,000 kg)

Content of the Load:

  • Detailed description (e.g. "Mobile group", "Industrial reactor", "Crete beam")
Idea
The Categories Palletzed Goods, Other loads (not palletized) and Intermodal Transport Unit can be complementary in a single load request, then once the first type of goods to be transported (e.g. Palletized goods), it will always be possible to click on "Add Goods" and include in the request a different type of load.
Ex. I have to carry 10 ceramic pallets (Merce palletized) and 50 baskets of industrial adhesives (Other non-ballletized loads)


Step 5: Special Features (Optional)

Special Goods

You will find the drop-down menu in every type of load, in the composition of the goods.

🔴 Goods of High Value:

  • Check if it is worth more than 50,000€

Perishable Goods (ATP):

  • Isothermal: Stable temperature without fridge
  • Refrigerator 0°/12°: Fresh products
  • Refrigerator up to -20°: Surgery

Dangerous Goods (ADR):

  • Chemicals, paints, gases, etc.
  • Select the specific type

Food Goods (HACCP):

  • Food products requiring special hygiene

Waste:

  • Only for authorized conveyors

In the left options you can find:

Special Necessary

Cranes🏗's need crane for loading/unloading crane
Hydraulic shore: Need shore for loading/unloading
Transpallet:Serve trolley to handle
Forklift:Serving for loading/unloading
Lateral load:It charges on the side of the truck
Load from above:It charges from top of the truck

Type Trailer

If you have specific needs, select:

  • Centrally: Truck with tarpaulin (most common)
  • Furgonato: Rigid closed truck
  • Plant: Open truck for bulky loads
  • Fridge: Refrigerated truck
  • Cisterna: For liquids
  • Other specialist types

Step 6: Finalization Request

Summary Control Summary

On the right side you will see:

  • Complete summary of the request
  • Privacy Policy: Only "Milan (IT) → Rome (IT)" (not complete addresses)
  • All load details

Phone number:We recommend that you connect the phone number to the request so as to receive direct contacts from the affected Carectors, which will be pre-filtered by Truckscanner according to their transport preferences.

    Click "Continue"to publish the request on the marketplace.



    After Publication

    Check Email (If you are a New User)

    1. Check your email(also spam)
    2. Click on the verification link
    3. Complete the profilewith name, surname, telephone number and password
    4. You will be redirected tologin login

    Sharing the Request

    Click on the sharing button next to the request codeand a sharing link will appear to you:e.g.https://ship.truckscanner.it/richiesta/RC-ABC123

    What you can do:

    • 📧 Email it to your regular carriers
    • 💬 Share it on WhatsApp
    • 📋 Copy it and paste it wherever you want

    Management of Requests

    Access to the App

    Save in favourites:The Truckscanner login page for quick access

    Monitoring Requests

    In "My Requests" you will see:

    • 📊 Number of offers received
    • 💬 Messages from carriers
    • State of the request

    Chat with Vectors

    For each interested carrier you can:

    • 💬 Chat for clarification
    • 📄 See your documents (DURC, insurance, etc.)
    • 💰 Receive offers
    • ✅ Accept or ❌ refuse

    Common Errors to Avoid

    Incomplete addresses: Always write away, civic number and city. For privacy we will only show this information upon completion of the transport order
    Wrong dimensions: Measure well height, length and depth
    Underestimated weight: Vectors may refuse if it weighs more
    Dates: Leave reasonable time for transport
    Do not check the summary: Once published you cannot change but you will need to cancel and redo the request

    Tips for Receive More Offers

    Flexible dates: "From 15 to 17 January" instead of "January 16"
    Large hours: "From 8 to 17" instead of "to 14 precise"
    Clear description: Explain well what you ship
    Photos of goods: Help carriers understand
    Reply quickly: To vector messages
    Share the request: With your usual conveyors

    Frequent Questions

    Can I change the request after posting it?No, you have to erase it and recreate it. Be careful before publishing.

    Do carriers see my full address right away?No, they see only cities. The full address only after the agreement.

    How much does it cost to enter a request?It is completely free, no hidden costs.

    Can I enter multiple requests?Yes, as many as you want, all free.

    How do I mistake something?Clear the request and recreate it correctly.

    Is my data safe?Yes, we use encryption and respect privacy.
