Before starting: the basic service is FREE
The basic Truckscanner service is completely free for carriers and owner-operators:

This model exists because Truckscanner wants to create an ecosystem where the more carriers there are, the more opportunities exist for everyone.
Difference between Carrier and Forwarder on Truckscanner:
- Carrier/Owner-operator: submits quotes for loads posted on the freight exchange (FREE)
- Forwarder: in addition to submitting quotes, can also post load requests to find carriers (requires Basic subscription or higher)

Note: Forwarders who only want to submit quotes without posting requests can use the platform for free like a carrier.

How to access Truckscanner
First login after registration
- Open a browser (Chrome, Firefox, Safari, Edge) and go to app.truckscanner.it
- Enter the email and password chosen during registration
- Click Log in

Tip: Save app.truckscanner.it to browser bookmarks right away by clicking the star ⭐ in the address bar. This way access is always just a click away.
If the company manages multiple accounts
If the account is linked to multiple companies, after login a dropdown menu will appear in the top right with the currently selected company name. Click the name to switch companies.

The Dashboard: the operations centre
After login, the first screen displayed is the Dashboard. This is the operations base for monitoring everything: profile, opportunities, negotiations and orders.
Main action buttons
At the top of the Dashboard there are two green buttons:
Create request
- Allows creating a new transport request
- Useful for forwarders who need to find carriers for their orders
- Note: A Basic subscription is required to post requests
Create order
- Opens the creation of a trade order
- Advanced feature for structured shipment management
The Company Profile box
On the left side of the Dashboard there is a box with company information:
Information displayed:
- Company name
- Headquarters address
- Revenue (data automatically retrieved from public records)
- Number of employees (data automatically retrieved from public records)
Complete profile: the 6 tasks
Below the company information is the Complete profile section with a progress bar and the list of tasks to complete.
The 6 tasks are:
- Company details - Verify and complete company information
- Locations and warehouses - Configure operational sites
- Register codes - Enter Hauliers Register and REN registration codes
- Professional documents - Upload DURC, Carrier Liability Insurance and other certifications
- Make the first offer - Submit the first quote for a load
- Verified badge - Obtain the verification badge by completing all steps
Click on each task to go directly to the corresponding section and complete it.
Important: Shippers can see the profile completion level when evaluating quotes. A 100% complete profile with verified badge can win even against lower offers.
Invite to Truckscanner box
Allows inviting other companies to the platform:
- Enter the email address of the contact to invite
- Click Invite
- The recipient will receive an email with a registration link
Who to invite: regular clients (shipping companies) who could post requests on Truckscanner. This way automatic notifications will be received and quotes can be submitted on the platform.
Book a call box
Allows booking a free call with the Truckscanner team to see the platform in action and get answers to any questions.

On the right side of the Dashboard there are quick links to the most used sections:
- Go to Marketplace - Direct access to the freight exchange
- Check your requests - Monitor posted requests (for forwarders)

- View your transport orders - List of confirmed orders
On the left side of the screen is the main menu. Each item leads to a specific section of the platform.

- Mainly useful for forwarders managing orders on behalf of clients

The heart of the platform for finding loads and managing negotiations:
Freight exchange
- List of all transport requests posted by shippers
- Filter by pickup area, destination, goods type, date
- Click on a request to see details and submit a quote
My requests (mainly for forwarders)
- Shows posted transport requests
- Allows monitoring quotes received from carriers
My negotiations
- All quotes submitted to shippers
- Status of each quote (pending, accepted, rejected)
- Chat with shippers to negotiate
Transport orders
- Contains all transport orders generated when a quote is accepted
- Each order includes complete transport, shipper and goods data
- The order PDF document can be downloaded

Contains features for managing contacts:
Company list
- Directory of all companies registered on Truckscanner (carriers and shippers)
- Allows market research and finding new contacts
- Available filters: city, distance, verified, company type, vehicle types, special goods, covered areas, validated documents

Professional Documents: the key to winning contracts
Professional documents are fundamental for credibility. Shippers can see documents during negotiations and a profile with complete and verified documentation can win even against lower offers.
Mandatory documents for all carriers
1. DURC (Single Document of Contribution Compliance)
- Certifies compliance with labour contributions
- Must be currently valid
- Exception: sole proprietorships without employees are not required to have one
2. Carrier Liability Insurance
- Policy covering damage to goods transported on behalf of third parties
- Upload the payment receipt or signed contract
- Enter the expiry date

Verification process
After uploading a document:
- The status will be "Pending approval"
- The Truckscanner team verifies the document within 24 hours
- A notification will communicate the outcome: approved or rejected with reason
First steps to take
Here is the recommended order for starting to use the platform:
Step 1: Complete company details
- From the Dashboard, click on the "Company details" task
- Verify that the information is correct
- Enter Hauliers Register and National codes
- Go to Company profile → Covered areas
- Select all geographical areas where the company operates
- Go to Company profile → Transportable goods
- Select all goods types the company can transport
Important: Notifications about new loads are based on these preferences. If not configured correctly, notifications will not arrive.
Step 3: Upload professional documents
- Go to Company profile → Professional documents
- Add all other available documents
Step 4: Explore the freight exchange
- Go to Marketplace → Freight exchange
- Use filters to search for loads in the area of interest
- Click on a request to see details
Step 5: Submit the first quote
- Find an interesting load on the freight exchange
- Click Submit quote
- Enter the price and any notes
- Send the quote and monitor the negotiation in "My negotiations"
